Create and send briefings

Need some help on how to create and send briefings? Maybe it’s your first time, or maybe you need a little refresher, it’s all good. We’re here to help you. If you follow the steps below
A briefing is an email that In2Event will send to the recipients you have selected. You can send a briefing to a ‘crowd’ or an ‘artist’. With ‘crowd’ we mean the individuals within all the different crowd types that you’ve created in your account. In this article, we’ll show you how to create and send the crowd briefing.

Required steps

There are a few steps that you have to finish before you can start with the briefings. Firstly, you need to upload the event logo. Secondly, you have to create a briefing template. Need help with creating a briefing template first? Check out Create a briefing template.

How to create and send briefings:

  1. From the Launchpad, open the event.
  2. Go to ‘Briefings’ in the menu on the left and click ‘Briefings’.
  3. Click on ‘Add briefing’ in the top right corner.
  4. In this case, we want to create a crowd briefing, so select that option.
  5. Give this briefing a name for reference. This will be for internal use only, the recipient won’t get to see this.
  6. Select the briefing template you want to use for this briefing.
  7. Click on ‘Continue’.
  8. Using the checkboxes, select who will receive this briefing. After selecting a crowd type you could specify further, using the segments.
    Note: If you’ve already used a certain segment for another briefing, the box is by default not checked. You can still select it if you want to use this segment again.
  9. Click on ‘Continue’.
  10. Time to specify your recipients even more. Select the days on which a recipient must be accredited to receive this briefing.
  11. Click on ‘Continue’.
  12. The briefing is sent out as an e-mail. Fill in the information that the recipient will get to see as sender.
  13. Click on ‘Continue’.
  14. At the following step, you can determine what the e-mail will look like. Add a header image, body text, and don’t forget to change the text in the blue button.
  15. Click on ‘Continue’.
  16. Set the date range to determine when to send the briefing. Every person who fits your earlier set limits and who is approved within this date range will receive the briefing.
  17. Click on ‘Add briefing’.
  18. Double-check everything you’ve done with our checklist. You can check every separate section and change or approve the section.
  19. At the final step of the checklist, you can see the previews of your briefing.
  20. If everything is correct you can click on ‘Activate briefing’. Every approved person will automatically receive a personalized version of this briefing.
