Create a briefing template

Before you send out the briefings, you need to create a briefing template. You can create different briefings for different crowd types. For example, you can send a specific briefing to the crew and a specific briefing to artists. Follow the steps beneath to create a briefing template.

Difference between a briefing and a briefing template

There is a difference between a briefing and a briefing template. The briefing is the email the recipients receive. The briefing template is added to the email and contains the information.

Create a briefing template:

  1. Open the event from the Launchpad.
  2. Go to ‘Briefings’ and click ‘Briefing templates’ in the menu on the left.
  3. Click ‘Add new briefing template’.
  4. Name the template and if necessary, you can add a description. These are for internal use only.
  5. Select the briefing type: is this an artist briefing or a crowd briefing?
  6. Click Add template’ to create the template.
  7. You’ll be automatically redirected to the template creator in which you can build the actual template. 

 

Drag & drop to shape your template

The template creator is a drag and drop builder. This means there are several blocks you can pick from the menu to shape the template exactly how you want it.
The first block contains general information about the recipient, the event, and the recipient’s accreditation. This is a dynamic block, which means that this block is personalized automatically when the briefing is sent out. This block is always the first one of your templates. 

Below the first block, you can start adding blocks yourself. On the right side, you see different types of blocks: ‘Text’, Text & image’, ‘Image’, ‘Location map’ and ‘Accommodations’. You can click on any of these blocks and drag them to the place of your choice.
When hovering over a block, you’ll see a pencil icon. Click this and you’ll be able to change the content of the block. 

You can also change the appearance of the template. In the right side menu, you can click ‘Settings’. Here you can change the background color and the colors of the buttons. Don’t forget to click ‘Save changes’ when you’re done.

 

Selective visibility

Do you want to send out briefings to different groups of recipients that mostly need the same information, except for a few details? We’ve got your back, you don’t need to create separate templates in this case. We made it possible for you to make certain blocks invisible for specific recipients. For example, you can add two blocks with information about parking. The first block is your general parking information and the second is about the VIP parking. You can change the settings per block in such a way that the second block would only be visible to recipients that have a VIP parking accreditation.

  1. Clicking the pencil icon at the top right corner of the block. It will appear when you hover over the block.
  2. Click ‘Settings’
  3. You’ll see the ‘Conditional block settings’. Use the checkboxes to select who will get to see that block.
    In the previously stated example, you would check the box for ‘VIP parking’. Every recipient who has the VIP parking accreditation, and only they, will get to see that block. In this example, don’t forget to also change the settings for the block with the general parking information.
